POSITION SUMMARY:

The role of the Wholesale Planning Associate involves overseeing critical aspects of wholesale operations and inventory management. Key responsibilities include maintaining the merchandise hierarchy and attribution in Netsuite, managing virtual inventory transfers, handling market-related activities such as sales rep sample distribution and new SKU creation, sizing seasonal Wholesale buys, and running weekly Wholesale selling reports. The role also entails the preparation of presentations for various business reviews, open-to-buy planning, and quarterly hindsight reviews. Effective collaboration with cross-functional teams, particularly Operations, is crucial for ensuring accurate inventory tracking, in-season channel balancing, and successful product launches. The Wholesale Planning Associate plays a pivotal role in maintaining inventory accuracy and supporting strategic decision-making through comprehensive reporting and analysis.

ESSENTIAL FUNCTIONS:

Maintain Merchandise Hierarchy & Attribution in NetSuite

o Responsible for executing all changes to our merchandise hierarchy to ensure accurate product attribution and reporting within Netsuite. Examples of changes to the Merchandise hierarchy include:

  • Updates to product costing so that we have an accurate picture of Gross Margin
  • Updates to product HS (duty identification) codes so that we know the impact of duties on profitability
  • Updates to product names (when they change) so that we have consistency of cross-functional reporting

o Ensure all changes to merchandise hierarchy are effectively communicated to the operations team

Manage Virtual Inventory Transfers

o Track future season bookings vs. plan and communicate inventory-driven sales risk related to product stock outs, receipt timing, etc.

o Ensure inventory accuracy (Wholesale and eComm) across all product launches

o Monitor and make recommendations around in-season inventory transfers between our DTC and Wholesale virtual warehouses to ensure we have inventory in the correct warehouse to optimize sales across both channels

o Work cross-functionally with operations to validate and ensure accuracy of inventory in Elastic in order to make sure that Wholesale customers have a complete and accurate view of Wholesale inventory for the entire season

Wholesale Reporting Coordination

o Produce weekly selling reporting based on both style and selling segment level performance

o Produce reporting for weekly Wholesale business reviews, and monthly Wholesale Open-to-buy meetings and seasonal Wholesale hindsights

Wholesale Market Coordination

o Oversee receipt of Wholesale Sample Sets and distribution to reps. Includes communication with VP of Wholesale and all reps on their individual sample needs as well as tracking of which samples have been sent to which reps and when.

o Own new SKU creation in NetSuite for all products, including but not limited to, UPC creation, merch hierarchy attribution, costing, pricing, vendor info, product dims, HS codes.

o Maintain Wholesale line sheets in Elastic (wholesale sales platform) to ensure accuracy of assortment offered during Wholesale market

Wholesale Investment Coordination

o After product buy quantities have been decided, apply historical size curve to product buy quantities to define size level buy quantities

o Upload Transfer Orders in NetSuite to ensure accurate Wholesale inventory availability

SUPERVISION RECEIVED

Reports directly to the Director, Planning & Merchandising.

SCHEDULING REQUIREMENTS

May require some flexibility in scheduling, such as the ability to work evenings and weekends to meet deliverables.

TRAVEL REQUIREMENTS

May require the ability to travel locally by car/public transportation.

WORKPLACE LOCATION REQUIREMENTS

We operate as a Hybrid work environment, working as a combination of remote and in-office presence.

REQUIRED AND PREFERRED QUALIFICATIONS

Minimum Education: Bachelor's degree, preferably in merchandising, marketing, business administration, or a related field.

Required Experience, Skills, and/or Knowledge:

  • 2-4 years’ experience in retail planning, merchandising, and inventory management.
  • Strong analytical skills, with the ability to analyze data and trends and make data-driven decisions to improve performance.
  • Excellent communication and interpersonal skills, with the ability to effectively communicate with internal stakeholders and external partners.
  • Knowledge of retail software and systems, including merchandise planning software, inventory management systems, and point-of-sale systems.
  • The ability to independently manage their function while collaborating with cross-functional teams.
  • Ability to think creatively and strategically, with the ability to develop and implement innovative solutions to improve the inventory system and reduce costs.
  • Strong project management skills, with the ability to manage multiple projects simultaneously and meet tight deadlines.
